📊 Full Account Health Audit — John Hughes Golf

As of August 26, 2026

1. 📧 CAMPAIGN PERFORMANCE

Overall KPIs (Last 30 Days — 28 campaigns, 9,634 sends)

Metric Your Account Industry Avg Status
Open Rate 44.97% ~60%+ (industry) ⚠️ Lagging
Click Rate 5.68% ~8.3% ⚠️ Below avg
Bounce Rate 0.11% ~0.1% ✅ Healthy
Unsubscribe Rate 0.12% ~0.2% ✅ Healthy

Note: Your open rate reported here is a rolling 30-day aggregate across campaigns. Historical analysis of 52 campaigns shows an average open rate of ~14.4% and click rate of ~3.4%, with clicks trending up and opens flat.

🏆 Top Performers (by click rate, 90-day window)

Campaign Sends Open Rate Click Rate
Weekly Newsletter – Customer (06/29) 1,174 50.0% 10.56%
Weekly Newsletter – 08/17 1,168 52.65% 9.50%
Weekly Newsletter – 08/24 1,169 43.28% 9.41%
Weekly Newsletter – 08/11 1,164 51.55% 9.19%
Weekly Newsletter – 06/15 1,169 47.99% 7.70%

✅ What's working: Content-rich weekly newsletters to the Customer List are clearly your engine — consistent open rates of 43–53% and click rates of 7–10.5%. These are genuinely strong numbers.

⚠️ Underperformers

Campaign Sends Open Rate Click Rate Issue
Leads newsletters (multiple) ~740 each 36–41% 0.14–2.56% Dramatically lower engagement vs. Customer list
IGI Monthly Newsletter (June) 245 22.86% 4.90% 30.6% bounce rate — critical list hygiene issue
Quick Win #2 / Virtual Coaching 39–54 22–25% 0.0% Automated emails with zero clicks
Welcome to IGI 54 22.22% 0.0% 29.6% bounce rate — urgent fix needed

🔴 Critical finding: The IGI list has a catastrophic bounce rate (29–30%). This is severely damaging your sender reputation and deliverability. This needs immediate attention.

⚠️ The Leads list gap: Leads-targeted newsletters consistently underperform Customer newsletters by 3–7x on click rates. The audience is engaged enough to open (~38–41%) but not clicking. The content/CTA strategy needs to be differentiated for leads vs. customers.

2. 🤖 AUTOMATION HEALTH

Active Automations: ~9–10 active (avg weekly)

  • All-time maximum active: 10 automations
  • ~38 contacts entered automations in the last 30 days (a low volume)
  • Automation email volume is decreasing (-10.4% trend)

Automation Email Engagement (Last 30 Days)

Metric Value
Automation open rate 31.5%
Automation click rate 6.5%
Total sends via automations ~92

Automation engagement is actually stronger than broadcast on a rate basis — but the volume flowing through is very low (92 sends vs. 8,828 broadcast sends).

⚠️ Automation Errors (Last 7 Days)

Two automations are generating skip errors due to previously bounced contacts:

  • Golf School Follow-Up Drip Campaign — 1 skip
  • Amazon Book Review Request Campaign — 2 skips

These are minor in volume but indicate bounced contacts are still entering automations. They need to be excluded via a filter condition.

✅ What's working

  • Drip campaign structure is in place
  • Automated emails for golf school clients show strong open rates (54–91%) — these contacts are highly engaged

⚠️ Underperforming

  • Several automated emails (Quick Win #2, Virtual Coaching, Book Review reminders) have 0% click rates
  • Only ~38 contacts entering automations/month — the funnel is narrow

3. 👥 CONTACT & LIST HEALTH

Contact Universe

Status Count
Active 2,464
Unsubscribed 48
Bounced 25
Unconfirmed 15
Total ~2,552

✅ Unsubscribe count (48) and bounce count (25) are well-controlled at the account level. List hygiene is generally sound except for the IGI list.

List Breakdown

List Active Subscribers Notes
John Hughes Golf Customer List 1,167 ✅ Core high-engagement list
Master Contact List 1,989 ✅ Large, main broadcast list
New Lead Contacts JHG 741 ⚠️ Lower engagement, needs nurturing
IGI Master List 224 🔴 Severe bounce problem
Free Swing Analysis 12 Small, lead-gen funnel
Newsletter Subscribers 6 Negligible
JHG (AI-generated) 0 Unused

🔴 IGI Master List is the most urgent problem. With ~30% bounce rates in recent sends, this list either contains old/invalid emails or was imported without proper validation.

Contact growth is slow: ~39 new contacts were created in the last 30 days (gross creation events — net growth will vary). The growth rate signal is below the positive contribution range for your peer group. List growth is a key lever you're not fully pulling yet.

4. 📈 ENGAGEMENT PATTERNS & CONTENT INTELLIGENCE

Based on 52 campaigns analyzed over 180 days:

What Works ✅ What Doesn't ❌
Newsletter format (+17.6% CTR lift) Event/webinar campaigns (-58.8% CTR)
"Consume content" CTAs — Watch/Read (+25.1%) Registration CTAs (-47.8%)
Free resource / tip offers (+23.0%) Event seat offers (-48.6%)
Longer email body copy (+29.9% CTR lift) Short, thin content
Expert + casual tone blend Curiosity-bait or promotional tone

Subject line intelligence: Starting with "Your" drives the strongest open rate lift. Urgency language (action-oriented, not countdown) has a +55.8% open rate lift. Avoid emojis (-8.8% lift) and question-format subjects (-25% lift).

🗓️ PRIORITIZED 60-DAY ACTION PLAN

🔴 WEEK 1–2: Stop the Bleeding

Priority 1 — Fix the IGI list immediately

  • Export the IGI Master List, run it through an email validation service
  • Suppress or delete hard-bounced addresses
  • Do not send to this list again until bounce rate is under 2%
  • Add a bounce-filter condition to all automations to exclude previously bounced contacts

Priority 2 — Clean automation entry conditions

  • Add a filter to both the Golf School Follow-Up and Amazon Book Review automations: "Contact has not bounced" — prevents ongoing skip errors

🟡 WEEKS 3–4: Fix the Leads List Underperformance

Priority 3 — Differentiate Leads newsletter content

  • The Leads list opens at 38–41% but clicks at <3%. They're interested but not converting on Customer-focused content
  • Create a separate content track for leads: more free tips, "first step" CTAs (watch a video, download a guide), fewer client achievement stories
  • Test a free resource offer in the next 2 leads newsletters

Priority 4 — Build a re-engagement sequence for 90-day inactive leads

  • Segment contacts on the Leads list who haven't opened in 90+ days
  • Build a 3-email re-engagement automation: Value drop → Personal check-in → Unsubscribe offer
  • This protects your sender reputation and cleans the list naturally

🟢 WEEKS 5–8: Accelerate What's Working

Priority 5 — Increase list growth rate

  • Your contact growth rate (0.15) is well below the positive zone (needs to reach ~1.0+)
  • Activate your Free Swing Analysis funnel more aggressively — promote it in newsletters and on social
  • Consider a second lead magnet (e.g., a free drill video or mini-guide) to drive opt-ins
  • Your forms and landing pages exist — make sure they're consistently promoted

Priority 6 — Improve automation volume

  • Only ~38 contacts/month enter automations — this is very low for a 2,400+ contact list
  • Build a segmentation-triggered automation: when a contact clicks a specific content type in the newsletter, tag them and enroll them in a relevant drip (e.g., clicked "putting" content → enters putting improvement sequence)
  • This is the single highest-leverage growth move available to you right now

Priority 7 — Optimize automated email CTAs

  • Several automated emails (Quick Win #2, Virtual Coaching, book review series) have 0% click rates
  • Audit these for CTA clarity — add a single, specific "consume content" CTA (Watch this video, Read this tip)
  • Longer body copy has shown a +29.9% CTR lift in your data — expand thin automated emails

Priority 8 — Test segmented sends on Customer list

  • Your Customer list is your best performer. Currently sending to the full list (0% segmentation rate vs. 6–57% optimal range)
  • Test segmenting by engagement level or lesson type for 2 newsletters over the next 4 weeks
  • Even a basic active-engagers segment could lift open and click rates further

📋 SUMMARY SCORECARD

Area Status Priority
Customer list newsletters ✅ Strong Maintain & optimize
Leads list engagement ⚠️ Underperforming Fix content strategy
IGI list deliverability 🔴 Critical Fix immediately
Automation volume ⚠️ Too low Build more entry points
Automation engagement rates ✅ Good when triggered Fix 0-click emails
Contact list growth ⚠️ Below optimal Activate lead magnets
List segmentation ⚠️ Unused Start testing
Bounce/unsubscribe rates ✅ Healthy (excl. IGI) Monitor

The biggest single opportunity is the Leads vs. Customer content gap — you have 741 leads opening your emails but barely clicking. Fixing that, combined with resolving the IGI bounce crisis and adding behavior-triggered automations, will drive the most meaningful results over the next 60 days. Would you like me to build any of these — a leads re-engagement automation, a segmented send, or a cleaned-up IGI list strategy?

Here's your full account health audit for Bender Digital Solutions, with a prioritized 60-day action plan based on the findings.

🔍 Account Health Audit — August 26, 2026

📧 CAMPAIGNS — Mixed Signals

What's Working:

  • Open rates are strong. Top-performing campaigns are hitting 54–55% open rates, well above the industry peer average of ~18.4% for Consulting/Agency accounts in North America.
  • Click-to-open rate on the best campaign reached 17.95–20% — a solid indicator that when people open, the content is compelling.
  • Zero unsubscribes and zero bounces on 3 of the 5 recent campaigns. List hygiene looks clean.
  • Zero spam complaints across all reviewed campaigns.

What's Underperforming:

  • Click rates are low. The average click rate across recent campaigns is 4.46%, with two campaigns sitting at 0.96% and 0%. Peer benchmarks put the top CTR performers in the Consulting/Agency space at 6.69% (survey-type campaigns).
  • Only 2 campaigns sent in the last 30 days, down from a higher prior-period volume. Send volume is declining.
  • Only 13 contacts engaged with any campaign in the last 90 days (out of 134 total). That's roughly 10% active engagement — a significant concern.
  • Campaign type is heavily weighted toward single broadcast sends — no educational series, nurture tracks, or survey-type campaigns, which are the highest CTR performers in your peer cohort.

⚙️ AUTOMATIONS — Mostly Inactive Infrastructure

What's Working:

  • You have 14 automations built — a solid library showing real strategic thinking.
  • The xxx zzz Subscribe series (automations 420, 359, 300, 229, 203, 155) shows a good cadence of iteration — new versions created each cycle.
  • RafflePress migration automation (512) cleanly handled 18 contacts from a contest entry to the main list.
  • No automation errors or failures were detected in the last 7 days.

What's Underperforming:

  • Only 1 automation is currently active (xxx zzz Subscribe 2026-07-B). The remaining 13 are either inactive (status 0) or completed/archived (status 2).
  • Two "Local Business Growth Email Sequence" automations (IDs 90 & 91) are both inactive and have never run (0 contacts entered). These are built but not deployed.
  • The 90-Day Re-engagement automation (ID 513) — built just 5 days ago — is inactive and has never run. This is your most urgent opportunity.
  • "xxx zzz Welcome Automation" (ID 417) is inactive — new subscribers are not receiving a welcome email.
  • The "State of Online Reviews" automation (ID 2) has never had a contact enter it and has no trigger configured.
  • Automation-triggered email sends dropped 87.7% in the recent period vs. prior — from an average of ~129/day down to ~16/day.

👥 CONTACTS — Small List, Low Engagement

What's Working:

  • 128 active contacts (out of 134 total) — 95.5% active rate. Very clean.
  • Only 1 bounce and 21 unsubscribes all time — solid deliverability hygiene.
  • 9 new contacts were created in the last 30 days via forms.

What's Underperforming:

  • Only 13 contacts engaged with any campaign in the last 90 days. That's ~10% of your active list.
  • The list size of 134 contacts is small relative to the volume and infrastructure built. Growth needs to accelerate.
  • Contact growth rate is limited — the form-based pipeline is working but slowly.
  • No integrations are active — zero third-party connections (CRM, Zapier, etc.) that could automate contact acquisition.

📊 OVERALL HEALTH SCORE

Area Status Notes
Campaign Open Rates ✅ Strong 54%+ is excellent
Campaign Click Rates ⚠️ Low 4.46% avg; top performers at 9.79%
Send Frequency 🔴 Declining Volume dropping; only 2 sends/30 days
Automation Activity 🔴 Critical 13 of 14 automations inactive
List Engagement 🔴 Critical Only 10% of contacts active in 90 days
List Growth ⚠️ Slow 9 new contacts/month from forms
Deliverability ✅ Clean No spam, near-zero bounces
Contact Volume ⚠️ Small 134 total; growth needed

🗓️ PRIORITIZED 60-DAY ACTION PLAN

🔥 DAYS 1–7: Fix the Broken Infrastructure

1. Activate the 90-Day Re-engagement Automation (ID 513) This is already built and ready. Activate it immediately — it targets your ~115 unengaged contacts and could recover a meaningful portion or clean your list.

2. Activate the xxx zzz Welcome Automation (ID 417) Every new subscriber should get an immediate welcome email. This is built but sitting idle. Turn it on today — every new contact entering without a welcome is a missed opportunity to set expectations and drive early engagement.

3. Decide on the Local Business Growth Sequences (IDs 90 & 91) Two identical nurture sequences are built but never activated. Pick the best version, assign a trigger (e.g., tag applied, form submitted), and activate it. This is a 3-email nurture track that could convert leads without any additional work.

📈 DAYS 8–30: Drive Clicks and Engagement

4. Add a Survey or Interactive CTA to Your Next Campaign Peer data shows survey-type campaigns generate 6.69% CTR — more than double the current average. Even a simple "quick poll" or "vote for the local business of the month" embedded in the next xxx Spotlight issue could move the needle significantly.

5. Shift Subject Line Style Campaign data shows higher open rates correlate with subject lines that use 17–45% capitalization (mixed case, not all-caps) and include numbers (e.g., "3 Local Businesses Crushing It This Month"). Avoid question mark endings — they're correlated with lower performance in your peer cohort.

6. Increase Send Frequency Two campaigns per month is below the threshold for sustained engagement. Aim for 4 sends per month — one per week. Even a short "local business tip of the week" format keeps your list warm and conditions contacts to open.

7. Add More Links Per Email Peer data flags link density as a key driver: aim for 4–25 links per 100 words. If your emails currently have 1–2 links, add additional "read more," "view this business," or "visit their website" CTAs throughout the body.

🌱 DAYS 31–60: Grow the List and Deepen the System

8. Set Up a Lead Magnet Form With 9 new contacts/month from forms, growth is slow. Create a higher-converting form offer — a "Local Business Spotlight Nomination" or "Free Local SEO Audit" opt-in — and promote it through your existing campaigns to accelerate list growth.

9. Consolidate and Retire Old Automations You have 6+ retired "xxx zzz Form" automations (IDs 155, 201, 203, 229, 300, 359) that are completed. Keeping them creates clutter. Archive the ones with 0 contacts currently in them to simplify management.

10. Connect an Integration Zero integrations are currently active. Even a simple Zapier connection to a lead capture tool, Google Sheets, or your website contact form would automate contact growth and reduce manual work. This is the single highest-leverage infrastructure move for scaling past 134 contacts.

11. Activate the "State of Online Reviews" Automation (ID 2) This has existed since the account started and has never run. If it's still relevant to your strategy, assign a trigger and activate it. If not, archive it.

Bottom Line

The fundamentals are solid — your open rates are excellent and your list is clean. The critical gap is activation: built assets aren't running, engaged contacts represent a tiny fraction of the list, and send frequency has dropped. The 60-day plan above is sequenced to fix the immediate gaps first (activate what's built), then optimize for clicks and engagement, then grow the pipeline. None of these require starting from scratch — the infrastructure is mostly there.

Here's your full account health audit, Kender Academy — broken into four sections, followed by a prioritized 60-day action plan.

1️⃣ CAMPAIGNS

Overall KPIs

Metric Your Account Industry Avg (Fitness/Nutrition)
Open Rate 35.93% ~51.5% (industry benchmark)
Click Rate 2.23% ~4.15% (industry benchmark)
Bounce Rate 0.06% ✅ Excellent
Unsubscribe Rate 0.01% ✅ Excellent

The deliverability health is outstanding — near-zero bounces and unsubscribes. The challenge is engagement depth: opens and clicks are both running below industry averages, and the historical trend shows both have been declining over the past 6 months.

✅ What's Working

Automation emails to active/enrolled audiences are strong. Emails going to currently enrolled dancers — particularly early sequence touchpoints and event-driven emails — are performing well, with open rates frequently above 60–80% and click rates of 15–28%.

"Welcome to Kender" onboarding emails convert. The first email in prospect nurture sequences routinely hits 42–68% open rates with decent click-through, confirming that new leads are highly engaged when they first arrive.

⚠️ What's Underperforming

The large-list countdown/nurture campaigns are dragging overall metrics. Emails like "Benefits of Summer Dance," "Countdown Begins," "Parent Testimonial/Student Story," "Class Preview + Behind-the-Scenes," and "Still Time to Join the Fun" — all sending to ~360–380 contacts — are stuck in the 18–21% open rate range. These are almost certainly going to a large unengaged audience of dormant prospects and are pulling your account average down significantly.

Newsletter click rates are very low. The Summer Newsletter 2026 (378 sends, 49.7% open, 0.79% click) and June 2026 Newsletter (375 sends, 40% open, 0.53% click) show people open them but aren't taking action. The CTA type is likely "consume content" — historically the lowest-performing CTA category for this account.

2️⃣ CONTACTS

Metric Value
Total Contacts 438
Growth (last 30 days) +21 contacts (5.04% growth rate)
Average adds per day ~0.68/day

Growth is steady and organic — 21 new contacts added over the last 30 days with zero unsubscribes in that window, which is very healthy for a boutique studio.

One gap: Contact status breakdowns (active vs. inactive vs. bounced) weren't fully returned, but given the near-zero bounce and unsubscribe rates, the list health appears strong. The large-volume sends (360–380) hitting low open rates suggest a meaningful portion of the list is dormant prospects who haven't engaged in a long time — this is your re-engagement priority.

📅 PRIORITIZED 60-DAY ACTION PLAN

🔴 WEEKS 1–2: Urgent — Fix What's Broken

Launch your re-engagement sequence for dormant prospects Your large-volume automations (360–384 sends) going to unengaged contacts are dragging your metrics. Build a 3-email re-engagement sequence for contacts who haven't opened in 90+ days. Frame it warmly: "Still curious about Irish dance? Here's where we are." If no response after the sequence, suppress them from future batch sends. This alone will lift your effective open and click rates significantly.

🟡 WEEKS 3–4: High Impact — Improve What Exists

Rewrite CTAs in your newsletter emails Both newsletters show strong open rates (~40–50%) but near-zero clicks. The issue is the CTA ask — "read this" or "check this out" drives no action. Replace with a single, specific register or event CTA (e.g., "Reserve your spot for the fall season" or "See the September schedule"). Your data confirms register CTAs drive 20% more engagement than content-consumption asks.

🟢 WEEKS 5–8: Growth — Build for Fall Season

Add urgency and specificity to Subject Lines Your current average subject line is 47.6 characters — the data shows 75–90 characters performs best. Urgency words lift open rates by 21.2% on your account. For the fall push, aim for longer, achievement-focused subject lines with a clear time reference (e.g., "🍂 Fall Classes Start September 15 — Here's What's New This Season ☘️").

The foundation here is genuinely strong — your enrolled-family emails and event-driven content are doing exactly what they should. The biggest wins over the next 60 days come from cleaning up dormant contacts dragging your averages, fixing CTAs in your newsletters, and leaning into the fall enrollment season with the segmented, personalized approach that already works for you. 💪☘️

I got an impressive, thorough health audit. Here are some highlights:

What's Working

Metric Your Account Industry Benchmark
Open Rate (30-day avg) 43.68% ~22.8%
Bounce Rate 0.12% ✅ Excellent
Unsubscribe Rate 0.07%

✅ Very low

❌ The most critical issue: bounced contacts are entering automations and causing skipped sends. This means real members are silently missing program communications. The Pickleball automation also has a list assignment gap — contacts are going through but the automation has no list attached.

🎯 FIRST STEPS IN MY 60-DAY ACTION PLAN

🔴 Week 1–2: Fix What's Broken (High Impact, Low Effort)

1. Clean bounced contacts from automations Audit the 1,858 bounced contacts. Remove or suppress them from automation enrollment triggers in Youth Basketball, Birthday, Welcome Series, and Pickleball. This immediately stops the skipped-send cascade.

2. Fix Pickleball automation list assignment The automation has no list assigned — add the appropriate list in automation settings so unsubscribed contacts are handled correctly.

3. Resolve the Non-Member List unsubscription error Review the Unsubscribe action in the Non-Member automation — it's failing 8 times and the error logs will show the specific cause.

📊 60-Day Success Targets

Metric Now Target
Click Rate 2.74% 4.5%+
Bounced Contacts 1,858 < 500
Automation Skip Rate High Near zero
Monthly List Growth +34 +150+
Active Automations ~20 23+

📧 CAMPAIGNS

What's Working

Metric Your Account Industry Median Status
Open Rate 28.29% 31.2% ⚠️ 2.91 pts below median
Click Rate 3.33% 1.17% ✅ +2.16 pts above median
Bounce Rate 0.18% ✅ Very healthy
Unsubscribe Rate 0.32% ✅ Within normal range

Click rate is a genuine standout — 2.16 percentage points above the E-Commerce/Retail industry median. When content resonates, it really resonates.

Highest-engagement campaigns are consistently:

  • Highly targeted sends to warm/purchased audiences (course access, retreat confirmations, photo submission, bonus session announcements)
  • Friendly, direct tone with event-specific context ("This Sunday!", "Bonus Session", coupon codes for MS cohort)
  • Small list sizes — the micro/targeted sends consistently outperform large blasts

What's Underperforming

  • Open rate trails the industry median by 2.91 percentage points — this is being pulled down by large broadcast sends, which are inherently harder to open in a spiritually-segmented audience
  • 237 campaigns sent in 30 days (~7.9/week) — this is a high cadence and may be contributing to list fatigue on broader segments
  • Newsletter/digest format campaigns are your lowest CTR category based on historical patterns (-43.1% vs. account average)
  • Send volume is decreasing — broadcast sends dropped ~36.5% compared to the prior period (this may be intentional post-event, but worth monitoring)

⚙️ AUTOMATIONS

What's Working

  • Active automation footprint is strong — up to 816 automations built historically, with strong tagging (455+ automations using Add Tag actions)
  • Automation email open rate: 16.4% — lower than broadcast (expected for automated sequences), but volume is trending upward (+22.8%)
  • Engagement tagging infrastructure is in place (Part 2 Engagement Tagging automation is actively running)

What Needs Attention — Specific Issues Found

Priority Automation Issue Impact
🔴 High Newsletter Conversion Automation 2,545 send skips (unsubscribed) + 53 bounce skips Largest error volume on account
🔴 High Ganesha Webinar 3,695 send skips (unsubscribed) + 78 bounce skips Second largest — entry list may contain stale contacts
🔴 High Part 2 - Engagement Tagging 1,796 "exit" skips + 320 daily entry limit hits Loop risk; contacts hitting daily throttle limit
🟡 Medium Re-engagement Automation 299 send skips to unsubscribed contacts Re-engagement list contains unsubscribed contacts
🟡 Medium Automation for form Varahi Opt In Add Tag action broken — tag was deleted Contacts not being tagged on opt-in
🟡 Medium Dr. Pillai's Shivaratri Transmissions Month 3 Same broken tag issue Fix: restore or reassign the tag
🟡 Medium Full Moon of the Guru 2025 (Sessions 2 & 4) Same broken tag issue on both Residual from past event
🟢 Low Makes A Purchase automation 2 subscription errors Isolated, but worth checking the list assignment
🟢 Low SOM 2026 / Ganesha Birthday 1 send skip (bounced contact) Minimal impact

Biggest systemic issue: The Newsletter Conversion Automation and Ganesha Webinar automation together account for 6,000+ skipped send actions in just 7 days — almost entirely because unsubscribed and bounced contacts are still in the entry trigger. These automations need their entry conditions updated to filter out non-active contacts upfront.

👥 CONTACTS

Current Snapshot

Status Count
✅ Active 22,158
❌ Unsubscribed 65,788
⚠️ Unconfirmed 884
🔴 Bounced 119
Total on account ~106,294

Key Observations

  • Only 20.8% of total contacts are active — 65,788 unsubscribes represent a significant historical churn that is generating automation noise
  • Contact base declined -0.29% (net -300 contacts) over the last 30 days — subscribes and deletes are nearly offsetting each other
  • Notable drop on August 18 — total contacts fell from ~105,408 to ~104,230 in one day (likely a bulk delete or cleanup operation, which is positive)
  • 884 unconfirmed contacts — these should either be confirmed or removed to keep list hygiene strong
  • Growth rate is below the positive contribution range (current: 10/month; optimum for open rates: 24+/month) — this is a meaningful lever to pull

📊 OVERALL ENGAGEMENT HEALTH

Signal Status
Open rate trend Increasing (+24.6% vs. prior period)
Click rate trend ➡️ Flat
Broadcast send volume ⬇️ Decreasing (-36.5%)
Automation email volume ✅ Increasing (+22.8%)
Active contacts ✅ Stable
Active automations ⬇️ Decreasing (-13.2%) — likely cleanup

The open rate increase alongside declining send volume is a positive signal — fewer emails being sent but a higher proportion being opened means list quality is improving. The flat click rate, however, suggests the content-to-action bridge needs strengthening.

📅 PRIORITIZED 60-DAY ACTION PLAN

🔴 WEEK 1–2: STOP THE BLEEDING (Automation Fixes)

1. Fix the Newsletter Conversion Automation entry filter Add a condition at the start requiring contact status = Active before any send action fires. This alone eliminates ~2,500+ weekly skips and reduces error noise.

2. Fix the Ganesha Webinar Automation entry filter Same fix — gate entry on active status. ~3,700+ skips/week are suppressing clean performance data and wasting processing cycles.

3. Fix Part 2 - Engagement Tagging loop The automation is hitting the daily entry limit (320 times in 7 days). Review the trigger conditions — it may be re-triggering contacts already in the automation. Add a "currently in this automation" check or reduce trigger sensitivity.

4. Fix broken Add Tag actions (4 automations) Varahi Opt In, Shivaratri Month 3, and Full Moon of the Guru 2025 Sessions 2 & 4 all have deleted tag references. Either restore the tag or reassign a new one. These are tagging contacts incorrectly on key program touchpoints.

🟡 WEEK 3–4: LIST HEALTH & REACTIVATION

5. Clean unsubscribed contacts out of active automation triggers 65,788 unsubscribed contacts are still triggering entry conditions on multiple automations. Audit your top 10 highest-volume automations and add "status = active" gates.

6. Address the 884 unconfirmed contacts Send a single re-confirmation email. Those who don't confirm within 7 days should be archived or removed — they are suppressing your confirmed open rates.

7. Review the Re-engagement Automation list 299 contacts in the re-engagement flow are already unsubscribed. Remove them from the entry trigger — sending to unsubscribed contacts creates compliance risk and inflates error counts.

🟡 WEEK 4–5: OPEN RATE PUSH

8. Close the gap on industry open rate median (31.2%) Your open rate is 28.29% — 2.91 pts below median. The fastest levers based on your account's historical patterns:

  • Use "Your" + benefit word + "Details/Access" subject line structure (highest-lift pattern from your own data)
  • Avoid question marks and urgency language in subject lines (-0.44 and -0.17 lift respectively)
  • Test 90–105 character subject lines — your optimal range based on historical performance

9. Increase list growth to 24+ net new contacts/month This is the threshold for positive open rate contribution. Priority channels: webinar opt-ins, form submissions, and the Ganesha Birthday 2026 event as a growth moment. Consider a lead magnet sequence — the Lead Magnet Delivery and Follow-Up emails you have are already performing at 100% open rate.

🟢 WEEK 5–8: CLICK RATE GROWTH

10. Shift newsletter content toward product announcements Your product announcement campaigns outperform newsletters by +32.7% in CTR. Consider reframing weekly content as "program spotlights" or "what's available now" rather than pure editorial.

11. Reduce links per email Fewer links = higher CTR (historically -55.2% CTR impact when link count is high). Aim for 1–2 primary CTAs per send, with a clear hierarchy.

12. Move the CTA earlier Place your primary CTA in the first third of the email. Peer data shows this is a consistent top performer for event/webinar and product announcement categories.

13. Capitalize subject line keywords (20–55% capitalization) This is a consistent peer benchmark signal across your top categories. Shifting from all-lowercase to mixed capitalization on key words can lift opens — feeding through to clicks.

🔵 ONGOING: GANESH CHATURTHI OPPORTUNITY (Sept 14)

14. Activate Ganesha Birthday campaign sequence Ganesh Chaturthi falls on September 14 — directly aligned with Pillai Center's audience and the Ganesha Birthday 2026 programs already in your account. This is a natural, high-relevance send window. Plan a 3-email sequence: 1 week before, day-of, and follow-up. The coupon code and session booking emails you already have are performing well (60–69% open rates) and can anchor this sequence.

✨ What's Working

📧 Email Volume & Opens Are Growing

Email send volume is increasing (+42%) and unique open counts are up +23% compared to the prior period — strong momentum in reach and visibility.

🤖 Automations Are Delivering

Automation-triggered emails are outperforming broadcast campaigns significantly:

  • Automation open rate: ~36% vs. ~11% for one-time campaigns
  • Automation click rate: ~13% vs. ~0.6% for one-time campaigns

Automations are your highest-engagement channel right now — a clear signal they're working well.

📣 Broadcast Volume Is Surging

One-time campaign send volume is up +42% in the recent period, with 21 campaigns sent in the last 30 days.

🏷️ Tagging Is Active

Tags are being applied actively — 111 tag usage events in the last 30 days across a taxonomy of 91 tags. This kind of segmentation infrastructure supports more targeted sends.

📋 Forms Are Generating Submissions

Forms have captured 27 submissions in the last 30 days across an established library of forms.

🏆 Content Patterns That Are Winning

Based on your campaign history, these content approaches are consistently outperforming your account average:

What Lift
Product announcement format +91.8% CTR
Consume-content CTAs +57.5% CTR
Product-focused offers +575.2% CTR
Expert tone +22.4% CTR
Automation sends vs. broadcast +88.1% CTR

✍️ Subject Line Signals That Work

  • Shorter subject lines with your brand names (LUSTRE, VERVE) consistently drive strong attribution
  • "Your" + brand/benefit structure performs well
  • Urgency language ("starting," "coming up," "first dibs") shows a +0.177 open rate lift
  • Personalization tokens show a strong +0.79 open rate lift — currently underused at only 1% of sends

⚡ Quick Watch Items

  • Email open rate is trending down (-14%) even as volume grows — worth monitoring
  • Fewer contacts are entering automations recently (-28%) — potentially a list growth or trigger opportunity

1️⃣ CAMPAIGNS

Overall KPIs

Metric Your Account Industry Avg (Fitness/Nutrition)
Open Rate 35.93% ~51.5% (industry benchmark)
Click Rate 2.23% ~4.15% (industry benchmark)
Bounce Rate 0.06% ✅ Excellent
Unsubscribe Rate 0.01% ✅ Excellent

The deliverability health is outstanding — near-zero bounces and unsubscribes. The challenge is engagement depth: opens and clicks are both running below industry averages, and the historical trend shows both have been declining over the past 6 months.

✅ What's Working

Automation emails to active/enrolled audiences are strong. Emails going to currently enrolled dancers — particularly early sequence touchpoints and event-driven emails — are performing well, with open rates frequently above 60–80% and click rates of 15–28%. The "Currently Enrolled" series for Jump'n Jig, Adult, and Youth dancers show real warmth landing with existing families.

Urgency-driven event emails perform. The Mets Irish Heritage Night campaign and "Early Bird Ends Today" urgency emails consistently outperformed the newsletter/nurture average, with click rates in the 10–28% range on meaningful send volumes (25–384 sends).

Mid-sequence prospect emails lose momentum. Emails #4–6 in several prospect nurture tracks (especially the high-volume 84-send and 150-send tracks) drop to 33–48% open rates and sub-1.5% click rates, indicating engagement fatigue as the sequence progresses.

2️⃣ AUTOMATIONS

Overall Health

~26 automations are actively running. The account has 37 built all-time, and automation emails account for the majority of volume. The good news: most errors are benign and explainable.

✅ What's Working

Automation infrastructure is mature and well-used — send actions, tag management, and contact field updates are all active. The automation-triggered email open rate (14.97%) and click rate (2.79%) are meaningfully higher than broadcast campaigns, confirming your instinct to automate is the right call.

⚠️ Issues Identified

"Client Enrolled" automation has the most errors (42 total skips this week):

  • 18 "End Another Automation" skips — contacts are being targeted for removal from automations they're no longer in. This usually means the sequence timing is misaligned with how quickly contacts move through.
  • 17 Subscribe errors — contacts hitting subscribe steps they can't complete (likely already on the list or status conflict).
  • 7 Unsubscribe errors — similar list status conflict.

"Prospective" automation has subscription errors (2) and manual wait-end skips — low volume but worth monitoring.

"Unenrolled" automation shows the same "End Another Automation" + subscribe/unsubscribe error pattern as "Client Enrolled," suggesting the exit-sequence handoff logic may need review.

These aren't emergencies — no contacts are being lost — but they create noise in your activity logs and may mean some contacts aren't being moved cleanly between sequences.

3️⃣ CONTACTS

Metric Value
Total Contacts 438
Growth (last 30 days) +21 contacts (5.04% growth rate)
Average adds per day ~0.68/day

Growth is steady and organic — 21 new contacts added over the last 30 days with zero unsubscribes in that window, which is very healthy for a boutique studio. The account is approaching the 500-contact mark.

4️⃣ OVERALL ENGAGEMENT PICTURE

  • Automation emails outperform broadcast emails — the gap is real and significant
  • Engaged / active families (enrolled segments) open and click at rates 3–5x higher than the dormant prospect pool
  • The large unengaged prospect segment is actively suppressing your account-level metrics
  • Content that wins: friendly tone + register/event CTAs + personalization tokens + urgency
  • Content that underperforms: newsletter format + "consume content" CTAs + expert tone + long body copy

📅 PRIORITIZED 60-DAY ACTION PLAN

🔴 WEEKS 1–2: Urgent — Fix What's Broken

2. Audit the "Client Enrolled" automation errors Address the 18 "End Another Automation" skips and 17 subscribe errors. Check whether the automation is trying to exit contacts from sequences they've already completed, and review whether list subscription steps are targeting contacts already subscribed.

🟡 WEEKS 3–4: High Impact — Improve What Exists

4. Trim and tighten mid-sequence prospect emails (#4–6) Open rates drop sharply in the middle of your nurture tracks. Shorten body copy, lead with a warmer, more personal hook, and shift the CTA toward a low-friction next step (book a $5 trial class, not just "learn more"). Fewer words, more visual formatting = higher engagement based on your account patterns.

🟢 WEEKS 5–8: Growth — Build for Fall Season

5. Build a segmented fall enrollment campaign With Labor Day on September 7 and the new season approaching, this is your highest-leverage sending window. Use your existing class group segmentation (Jump'n Jig, Youth, Teen, Adult) to send 4 separate, personalized enrollment emails — one per group — rather than a single blast. Enrolled families get a "welcome back" message; prospects get an event-seat CTA for a trial class. Personalized + segmented emails consistently outperform your blasts by 3–5x.

7. Set up a post-trial follow-up automation with a register CTA "Trial Complete Follow Up Email 1" has a 66.7% open rate — that's a hot signal. But the sequence appears to end quickly. Build a 3-step post-trial follow-up that moves from warmth → social proof → enrollment urgency over 7 days, keeping the same friendly tone that your enrolled-family emails use.

📊 HEADLINE GOALS FOR DAY 60

Metric Current Target
Overall Open Rate 35.93% 42%+
Overall Click Rate 2.23% 3.5%+
Total Contacts 438 470+
Automation errors (weekly) ~40+ <15

The foundation here is genuinely strong — your enrolled-family emails and event-driven content are doing exactly what they should. The biggest wins over the next 60 days come from cleaning up dormant contacts dragging your averages, fixing CTAs in your newsletters, and leaning into the fall enrollment season with the segmented, personalized approach that already works for you. 💪☘️
