Contact Entry Form For Internal Use Adding Client Contact Info

I have a brokerage firm and when a client enrolls using one of my broker’s assistance I want them to add the client’s information into ActiveCampaign (AC). I don’t want them to have access to the entire list of clients by entering the information directly into ActiveCampaign, so I’ve created a broker entry form on a hidden webpage for them to use.

How do I get AC to not put the broker’s website activity into the new client contact?

Is there a better way to accomplish this?

Is it possible to set broker permissions? Can I limit their ability to just entering information for their specific clients and not have access to the full list or any automations/campaigns?
This is the only reason I created a broker entry form. However, the form assumes that it’s the client entering the information and therefore adds the broker’s website activity to the client contact, and that’s not what I wanted. I’d like to have AC not track the broker, but wait until the client comes back to the website to begin tracking their visits.

You can set broker permissions that would restrict the following:

  • Lists

  • Campaigns

  • Contacts

  • Automations

  • Subscription Forms

  • Templates

  • Reports

That’s a great question @spfinsuranceservices! It’s something I’ve been thinking about as well because sometimes it’s too much for a rep to do when it comes to data entry, especially as soon as they log in. Or sometimes it’s not a rep who needs to enter the data.

Sadly I think @pleon’s templated replies are totally off the mark. So I’m going to pitch in while someone from AC gives you a real answer.

Anyway, my solution is to use their browser’s incognito mode. This will disconnect their session of form entry from their browser visits. I’m not sure though, if it works when you enter the rep’s email address in the form (because that may somehow connect back to browser visits)… but it’s worth a quick test.

Ahh thank you for clarifying this for me @mham. It appears I misunderstood the question.

@spfinsuranceservices So, you could have your brokers fill out the form in an incognito browser because that will prevent them from being tracked. However, that may be challenging or unrealistic to ensure the brokers are using an incognito browser every time.

With that being said, I would suggest using a different form such as Google Forms and Zapier. You would want to setup a Zap that adds the client’s contact information to ActiveCampaign when your brokers submit a Google Form on their behalf. By having them submit a form external to ActiveCampaign their website activity will not be tracked.

I would then create an automation for when a contact “Subscribes” to a list and send the client a welcome email (or a welcome email series) confirming their contact information was received, with a call-to-action to complete their account setup. Once the client clicks the call-to-action, site tracking will be activated for that specific contact only, not your broker.

I do have a series of welcome emails I send to new clients, and each asks them to take a simple action. My hope is that having the client take an action will then start the tracking on their browser activity. However, I don’t want to require the client to have to submit more information because we’ve already asked them for everything and entered it in the broker form.

No problem, Tim. Totally understand, the incognito browser is much simpler if that solution works for yourself and the brokers.

If you already have the series of welcome emails asking them to take a simple action that will accomplish/start the tracking on their browser activity.
